Privacy policy

What we collect, why, who we share it with and how to exercise your rights. Your data is never sold.

Who processes your data

The controller is the group entity that provides the service concerned:

  • Atlas Controle SRL (enterprise no. BE 1002.000.201, Boulevard Lambermont 127, 1030 Schaerbeek) — the website, its free tools and its forms
  • Atlas Contrôle ASBL (enterprise no. BE 0732.536.476, Rue Eugène Smits 58, 1030 Schaerbeek) — inspections, their reports, complaints and appeals
  • Atlas Academy ASBL (enterprise no. BE 1010.201.748) — Academy training courses, registrations and evaluations

For a price request, an order, a payment or the client area, it is the entity that issues the offer, the quote or, failing that, the invoice, as provided in our terms and conditions. For a job application, it is the entity recruiting for the position.

One address for any question about your data, whichever the entity: contact@atlascontrole.be.

What we collect and why

Price requests and contact

The price calculator collects the inspections requested, the building type, the postcode, your name and your availability. Depending on your choice, this information is sent via WhatsApp or passed to the client area to place an order. The contact form and the request linked to mandatory inspections (name, organisation, postcode, email address, phone, message) are sent from your own email software or via WhatsApp: the website does not keep them.

Purpose: answering your request and preparing an offer.

Free tools

Three tools email you the document they produce and collect data for that purpose:

  • the single-line diagram: name, capacity (owner, tenant, installer), VAT number, email address, phone and installation address, together with the IP address and browser used, recorded for the security of the service
  • the external influences document and the safety and critical installations document: email address, installation address and the operator's name shown in the document

Purpose: sending you the document and contacting you again about the inspection of that installation. The single-line diagram only contacts you again with your consent, given through the form's checkbox.

The other tools (fire risk analysis, electrical installation risk analysis, isometric gas diagram, simulators and calculators) run entirely in your browser: no data you enter is sent to us.

Orders, client area and payment

The client area collects the client's identity and contact details (name, company, VAT number, address, phone, email address), and those of the occupant or owner when the inspection is ordered for a third party. It keeps the documents and messages exchanged about an inspection. You sign in with a link received by email, a passkey or, if you choose, your Google or Microsoft account.

Online payment goes through Stripe: your card or account details are entered with Stripe and never reach us.

Purpose: fulfilling the order, carrying out the inspection, invoicing and giving you access to your reports.

Inspections

An inspection produces data about the installation and its location: address, findings, measurements and photographs. The report is only provided to the party who ordered it, unless the law requires otherwise or that party agrees in writing.

Purpose: carrying out the inspection and meeting the obligations of our approval and our accreditation.

Complaints and appeals

The complaint form collects the description of the complaint, your name, your email address, your phone, the address concerned, the file reference and the documents you attach.

Purpose: handling the complaint and keeping a record of it, as required by ISO/IEC 17020, the standard under which we are accredited.

Job applications

The application form collects your identity, your contact details, the position applied for, your qualifications, your experience, your authorisations, your message and, if you attach it, your CV.

Purpose: assessing your application. It is used for no other purpose and shared with no third party.

Atlas Academy

Registration collects the contact details of the person registering, billing details (company, VAT number, address) and, for each participant, their name, email address, phone, address, date of birth and national register number. The waiting list, the contact form and course evaluations collect the information you enter.

Purpose: organising the course, issuing the certificate of attendance and registering the participant with the certification body (RESCert, CERGA) when the course requires it.

Audience measurement and security

Website traffic is measured with Google Analytics, server-side through Cloudflare Zaraz, without a cookie on your device. IP addresses are also used to block abusive submissions. Full details in our cookie policy.

On what basis

  • performance of a contract or of steps taken before entering into it: price request, order, client area, payment, inspection, course registration, job application
  • a legal or regulatory obligation: inspection reports, complaints, accounting, disclosure to authorities and certification bodies where regulations require it
  • our legitimate interest: cookieless audience measurement, website security, follow-up of a document requested through a free tool
  • your consent: being contacted again after the single-line diagram, which you may withdraw at any time

Who we share it with

Your data is neither sold nor rented. It is only accessible to the people within the group who need it and to the service providers who process it on our behalf:

  • Cloudflare — website hosting, audience measurement, storage of requests made through the tools
  • Odoo — our management software (requests, orders, invoicing, sending tool documents, job applications)
  • Resend — sending client area and complaint emails
  • Stripe — online payment
  • Google — audience measurement, and sign-in to the client area if you choose your Google account
  • Microsoft — sign-in to the client area if you choose your Microsoft account
  • WhatsApp (Meta) — only if you choose to write to us through that channel
  • bpost — address completion in the single-line diagram

Where regulations require it, it is also disclosed to the competent authorities (in particular the FPS Economy), to BELAC during its assessments and, for the Academy, to the course's certification body.

Transfers outside the European Union

Some of these service providers are established in the United States. Depending on the provider, these transfers rely on the European Commission's adequacy decision on the EU–US Data Privacy Framework or on the standard contractual clauses adopted by the Commission.

How long we keep it

  • inspection reports, and messages and documents relating to an inspection: 5 years
  • complaints and appeals: 5 years after closure
  • invoices and accounting records: the period required by accounting and tax legislation
  • requests received through the free tools: 3 years after the last contact
  • unsuccessful job applications: 1 year after the end of the recruitment
  • Academy participant data: the period required by the certification body, or failing that 5 years after the course
  • IP addresses recorded against abusive submissions: 24 hours

At the end of these periods, data is deleted or anonymised.

Your rights

You may request access to your data, its rectification, erasure, restriction of processing or portability, object to processing based on our legitimate interest and withdraw any consent given at any time. Write to contact@atlascontrole.be: we reply within one month. We may ask you to prove your identity.

Erasure cannot cover data that the law or our accreditation requires us to keep, such as an inspection report during its retention period.

You may also lodge a complaint with the Data Protection Authority, Rue de la Presse 35, 1000 Brussels.

This policy is updated whenever what we collect changes. Last updated: 21 October 2026.
